The Accounts Payable Manager manages the Accounts Payable teams for multiple entities, both USA and Canada, within a shared-services environment. Teams are responsible to provide timely processing of vendor invoices utilizing a global document management system, account reconciliations, and T&E processing, both for the corporate card program and out-of-pocket. This position reports to the Director of Finance.

Duties and Responsibilities:

  • Provide oversight of all aspects of the Accounts Payable functions including but not limited to:

•   Vendor set-up and maintenance

• Invoice processing to ensure timeliness, accuracy and compliance, within a document workflow system

• Work with vendors to automate invoices within workflow system reducing manual tasks within workflow

• Accurate coding of invoice amounts to general ledger and freight related transactions

• Process weekly payments

• Ensure vendor inquiries are responded to in a timely manner

  •  Work with HR and Payroll departments coordinating month-end activities
  •  Process and monitor all recurring monthly and annual expenses (rent, property taxes, leases and  utilities)
  •  Prepare and maintain AP transactions related reports such as month-end and year-end analysis of invoices, accruals and any adhoc reports required by management
  • Support year-end external audit and periodic internal audits
  • Establish and maintain Accounts Payable strategy that is scalable and dynamic in a changing environment
  • Develop departmental goals and objectives in alignment with Company and Finance strategic objectives.
  • Review annual 1099 reporting to ensure accuracy and completeness
  • Oversee the travel and entertainment expenses for the company population with timely processing and payment and audit support
  • Develop and drive process improvement for efficiencies in processes

Qualifications:

The candidate should be able to manage a team, with overall responsibility for the team’s task and time management. The candidate must be able to solve problems, ensuring timely resolution, must be able to prioritize multiple teams/tasks.  Intermediate to advanced Excel is required, along with 5 years of relevant management experience in AP. SAP experience is a plus. The AP Manager must communicate effectively, both oral and written, and must be able to work in a high volume, past-paced environment.

A college degree along with 5 - 10 years of experience is required.
