SUMMARY

The DSV Road Claims Assistant supports the Claims department, and assists with corresponding communications and decisions to appropriate parties throughout the Claims process. They assist with compiling and maintaining claim records in accordance with departmental and company procedures, and provide exceptional customer service to internal and external clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Relieves the Claims Manager of clerical and administrative responsibilities by scheduling appointments, providing information to both internal and external customers, routing mail, filing records and performing other assigned clerical duties.
  • Oversees returns, sorts bill of ladings and cargo.
  • Arranges trailers and contacts vendors for returns. 
  • Composes and types correspondences, and communicates with all internal and external parties involved in the claim process to compile information and foster communication.
  • Indexes and retrieves various departmental materials (additionally file documents and other material in alphabetical, numerical or chronological systems.)
  • Balances multiple duties, with a high attention to detail and well-developed organizational skills.
  • Keys both alpha and numeric data into the FreighTrak, Access database and AS400.
  • Performs various general office functions including but not limited to operation of standard office equipment (fax machine, copier, scanner, printer and 10-key.)
  • Compiles and maintain claim records in accordance with departmental and company policies and procedures.

MINIMUM REQUIRED QUALIFICATIONS

Education and/or Experience

  • High school diploma.
  • 2 years’ experience in an Administrative Assistant, Claims, Customer Service or related position. 

SKILLS, KNOWLEDGE AND ABILITIES

Computer Skills

  • Proficiency with Microsoft Office suite (Excel, Word, Access, and PowerPoint).

Language Skills

  • English (reading, writing and verbal)

Mathematical Skills

  • Intermediate mathematical skills

Other Skills

  • Strong analytical and problem solving skills.
  • Ability to manage multiple projects simultaneously.
  • Strong interpersonal, presentation and written/verbal communication skills.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills that promote team building and associate development are required.
  • Strong work ethic and patience.

PREFERRED QUALIFICATIONS

  • Associate’s or Bachelor’s degree a plus.
  • 1 year of Claims or relevant experience.

PHYSICAL DEMANDS

While performing the duties of this job, the employee uses his/her hands to finger, handle or feel objects, tools or controls; reach with hands and arms; stoop, kneel, or crouch; talk or hear.  The employee uses computer and telephone equipment. The employee also regularly lifts and/or moves objects up to 10 pounds. Specific vision requirements of this job include close vision and distance vision.  Must be able to travel by plane and automobile.

WORK ENVIRONMENT

While performing the duties of this job, the employee rarely is exposed to fumes or airborne particles, toxic or caustic chemicals. The noise level in the work environment is usually low to moderate.
