Job Posting Title: Human Resources Assistant

SUMMARY

Provide support to Management personnel by effectively managing his/her schedule and performing a wide variety of responsible, complex and confidential administrative, secretarial, and analytical and research duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES


•         Under general supervision, provides general administrative support to a department or group of professionals or management


•         Collects and compiles moderately complex and confidential data and information. May coordinate with other departments to complete assignments


•         Prepares correspondence and reports. Screens telephone calls and visitors. Schedules appointments, meetings, and travel itineraries


•         Relieves supervisor(s) of some administrative detail. Within established guidelines, makes independent decisions regarding planning, organizing, and scheduling work


•         Completes work with a limited degree of supervision. Possesses the ability to make judgments based on practice and previous experience. This requires the ability to assess the validity and applicability of previous or similar experiences and evaluate options under circumstances that are not covered by procedures. Identifies key issues and patterns from partial/conflicting data


•         Uses word processing, spreadsheet software or PC in performing tasks


•         Possesses good understanding of work routines and procedures in own job. The technical procedures for this level are well defined. Works within established procedures with a moderate degree of supervision. Identifies the problem and all relevant issues in straightforward situations, assesses each using standard procedures, and makes sound decisions


•         Will review, verify, and process payroll. Responsibilities include but not limited to auditing work hours and punches, processing the Daily Summary report and Time Clock/ Punch report, exporting payroll, printing and distributing timecards, generating the Weekly Hourly report, and distributing checks. Process all vacation and personal requests. Verifies information in TimeQ Plus for accuracy and makes appropriate corrections when needed.


•         Maintain the Attendance Tracker and distribute counseling notices to supervisors in a timely and accurate manner. Accounts Payable Responsibilities include but not limited to inputting payables into Lawson, generating the Invoice Detail report, and composing the Weekly Assessorial report. Will code invoices and assist with vendor related problems when needed. Will maintain accounts payable filing system.


•         Training Recordkeeping Responsibilities include but not limited to inputting Occupational Training information in the database. Will ensure all forklift certifications are current and up-to-date. Will maintain the training record filing system, including associate safety personnel files.


•         Will perform other human resource and financial administrative functions including but not limited to compiling new employee orientation packets, maintaining the employee locker database, and updating the communication boards. Maintain other employment records including current address information, phone lists, and emergency contact information.

MINIMUM REQUIRED QUALIFICATIONS

Education and/or Experience


•         Completion of high school Diploma or GED


•         2 years’ experience in a clerical role


•         1 year experience in Human Resources role


•         Willing to work evenings and weekends as needed.
